Short answer: a phone is a perfectly good inventory scanner for anything up to a few hundred items a day. Use an app that supports batch scanning and CSV export, map barcodes to your own item names once, and re-scan for stock counts.
Is a phone actually good enough?
For small operations, yes. Where phones win and lose:

The crossover point is roughly a few hundred scans per session. Below that a phone is genuinely more capable, because it can attach a photo, a note, a location and a timestamp to each scan â things a laser scanner cannot do.

Check that whatever app you choose reads the ones you actually handle â a lot of consumer QR apps do not read ITF-14 or Code 39.
Setting up a workable system
1. Decide what identifies an item. If you sell manufactured goods, the EAN on the packaging is the natural key. If you make your own products or track assets, print your own Code 128 labels.
2. Build the mapping once. Scan each distinct item, and record the barcode against your item name, SKU, location and cost. This is the slow part and you only do it once per product.
3. Use sessions for counts. A stock take is a new session: scan everything on the shelf, export, compare with your expected figures. Do not try to increment and decrement counts live â reconciling against a full count is far more reliable.
4. Export to CSV and reconcile in a spreadsheet. Resist the temptation to do the arithmetic in the app. A spreadsheet gives you an audit trail and a place to record discrepancies.

The batch scanning workflow
The single biggest speed gain is continuous scan mode â the app stays in the camera view and adds each code to the list without you tapping between scans.
Practical tips that make a real difference over a long session:
- Scan in good, even light. Overhead fluorescent is fine; a single side lamp creating glare is not.
- Hold 10â20 cm away. Too close and the camera cannot focus; too far and the bars blur together.
- Keep the barcode parallel to the top edge of the phone. Most decoders scan horizontally.
- Turn on scan feedback â a beep or vibration confirms a read without you looking at the screen.
- Enable duplicate detection so a double-read does not silently double your count.
Handling the awkward cases
- Damaged or partially torn labels. Try scanning at a slight angle, and clean the label. If the checksum digit is intact, some decoders recover. Otherwise, key it in manually and flag it.
- Curved surfaces â bottles and tins. Rotate slowly rather than moving closer; the decoder needs one clean horizontal slice.
- Shiny or laminated labels. Tilt to move the reflection off-centre.
- Very small codes. Use the camera zoom rather than moving the phone closer, which breaks focus.
- Multiple barcodes on one box. Outer case codes (ITF-14) and unit codes (EAN-13) both appear on cartons. Decide which one you track and be consistent, or your counts will be off by the case quantity.
What a phone will not do well
Be realistic about the limits before building a process around it:
- All-day scanning. Holding a phone up for eight hours is uncomfortable and the battery will not last.
- Cold storage or outdoors in rain. Touchscreens and gloves do not mix, and phones are not rated for it.
- Thousands of scans per hour. A laser scanner is five to ten times faster per scan and that compounds.
- Integration with an existing ERP. Unless your system has an API or accepts CSV import, you will be doing manual transfers.
For a small shop, a workshop, a storeroom, an equipment library or a one-off stock take, none of those limits bite. For a distribution warehouse, buy the dedicated hardware.
